Accreditation surveys often feel stressful, especially around medical equipment management. Yet with systematic preparation, most findings can be avoided. Here is a practical checklist.

1. Medical Equipment Inventory

  • List of all medical devices with brand, type, and serial number.
  • Condition status (good / faulty / under repair).
  • Placement location of each device.

2. Maintenance Documents

  • Maintenance SOPs for each device type.
  • Annual maintenance schedule.
  • Completed maintenance cards.
  • Maintenance execution reports (monthly).

3. Calibration

  • List of devices requiring calibration.
  • Valid calibration certificates.
  • Re-calibration schedule.

4. Human Resources

  • Evidence of handling by STR-certified electromedical personnel.
  • Evidence of equipment-user training.

5. Incident Handling & Recall

  • Procedure for reporting faulty equipment.
  • Evidence of follow-up (repair/replacement).

Tip: keep all documents in one easily searchable system. When a surveyor requests evidence, how quickly you find documents strongly affects the assessment.
